Provider applications
Details: Name, credentials, profession, phone, organization details and address (shown as you choose), photos, bio, services, FAQs, and links. Private: contact email, license number and state, associations, and a record of what you agreed to.
Who sees it: The public parts appear on your listing. The private parts are seen only by the Entrecare team.
How long we keep it: While you are listed, plus 12 months. Declined applications: 12 months.
Messages to providers
Details: Your name, email address, message, a scrambled (hashed) version of your IP address, and delivery status.
Who sees it: The provider you contact and the Entrecare team.
How long we keep it: 12 months.
Contact form
Details: Your name, email, topic, and message. It is emailed to us and not stored on the website.
Who sees it: The Entrecare team.
How long we keep it: 12 months in our email.
Website analytics
Details: Pages viewed, device and browser type, approximate location, and cookies set by Google Analytics.
Who sees it: The Entrecare team (in summary form) and Google.
How long we keep it: As set in our Analytics settings [confirm].
Hosting and security logs
Details: IP address and technical request details.
Who sees it: Our hosting provider and the Entrecare team.
How long we keep it: As set by the hosting provider.
Email delivery records
Details: Email addresses and delivery status.

3. How we use information
We use information to run the directory, review applications, deliver messages to providers, answer questions, prevent spam and abuse, understand how the site is used, and meet legal duties. We do not sell personal information. We do not use it to show you advertising [confirm].
4. Who we share it with
• Providers. When you message a provider, we send them your name, email address, and message.
• Service providers. Companies that help us run the site, including our hosting provider (Kinsta), our email sending service (Resend), and Google (Analytics). They may use the information only to provide those services.
• Legal reasons. We may share information when the law requires it, or to protect people or the site from harm.
• Business changes. If Entrecare is sold or merged, information may transfer to the new owner under this policy.
• SamBright. We do not share application or message details with SamBright's sales team unless you ask to be connected [confirm this matches your plan].
5. How long we keep information
Messages, contact emails, and declined applications are kept for 12 months. Provider information is kept while a listing is active and for 12 months after it is removed. License numbers are kept only as long as needed to verify them and keep our review records [lawyer: consider a fixed period]. After these periods we delete the information or remove anything that identifies you.
6. Your choices and rights
You can ask to see, correct, or delete the information we hold about you by emailing neal@entrecare.com. We may need to confirm who you are first, and we aim to reply within [45 days]. 7. Cookies and analytics
We use Google Analytics to understand how the site is used. It sets cookies and collects information such as pages viewed, device type, and approximate location. 8. Sensitive information and health
Some providers on Entrecare are health professionals. Messages sent through Entrecare go to the provider's email, which we do not control. 9. Children
Entrecare is meant for adults and is not directed to children under 18. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.

We use reasonable safeguards, including keeping private fields hidden from the public, limiting who can see them, and using spam controls on our forms. No system is perfectly secure, so we cannot promise absolute security.
